Terms & Conditions

UrbanGym provides a multi-role gym management software platform including, but not limited to:

• Member management — profiles, packages, renewals, and history
• Attendance tracking — manual, web-based, and biometric device-ready check-ins
• Payments and subscriptions — collection, invoicing, and due tracking
• Trainer and personal training management
• Class scheduling and enrollment
• Automated communications via SMS and email
• Analytics and reporting dashboards
• Staff and role-based access control

We reserve the right to modify, suspend, or discontinue any feature of the platform at any time, with reasonable notice where practicable.

By using UrbanGym, you agree to:

• Provide accurate, complete, and up-to-date information during registration and use
• Keep your account credentials secure and not share OTP codes with anyone
• Not use the platform for any unlawful, fraudulent, or unauthorised purpose
• Not attempt to gain unauthorised access to other users' accounts or any part of our systems
• Not reverse-engineer, decompile, or attempt to extract source code from the platform
• Not upload or transmit harmful, offensive, or illegal content
• Comply with all applicable Indian laws and regulations while using the platform

Gym owners are responsible for ensuring their use of UrbanGym complies with applicable data protection obligations toward their members and staff.

• All payments for UrbanGym platform subscriptions are processed securely via third-party payment gateways (e.g., Razorpay)
• Member payments collected through UrbanGym on behalf of gym owners are processed via the same gateways and are subject to their respective terms
• Subscription pricing is subject to change. We will provide reasonable advance notice of any price changes
• Refunds, if applicable, are governed by our Refund Policy and the terms of the relevant payment gateway
• We are not responsible for payment failures caused by your bank, card issuer, or network conditions

• Each user account is tied to a unique phone number at the identity level, but the same person may be linked with multiple gyms or approved role associations
• You are solely responsible for all activity that occurs under your account
• Notify us immediately at the contact email below if you suspect unauthorised access to your account
• We reserve the right to require re-verification of your identity at any time for security purposes

To the fullest extent permitted by law, UrbanGym and its team shall not be liable for:

• Loss or corruption of data caused by third-party infrastructure failures (e.g., cloud providers, payment gateways)
• Service interruptions, downtime, or delays beyond our reasonable control
• Any indirect, incidental, consequential, or punitive damages arising from your use of the platform
• Losses arising from unauthorised access to your account where you have failed to secure your OTP

Our total liability to you for any claim arising from use of UrbanGym shall not exceed the amount you paid us in the 3 months preceding the claim.

We may suspend or permanently terminate your account if you:

• Violate any of these Terms & Conditions
• Misuse the platform or engage in fraudulent activity
• Fail to pay for a paid subscription plan
• Engage in behaviour that harms other users or the platform

You may also request account deletion at any time by contacting us. Upon termination, your right to use the platform ceases immediately. We will handle your data as described in our Privacy Policy.
